Guidelines for Contributors

Language of the Workshop: The official language of the Workshop is English.

Session types

The workshop programme will be composed of different types of sessions. There will be oral presentations in the originally proposed special sessions but also in new topic-specific sessions. Poster presentations will be on the same day in the foreseen room and slot. In addition, there will be three invited keynote presentations and one moderated panel discussion. The best oral and poster presentations for the Young Scientist Award will be selected by live voting and honoured in the award session on the last workshop day.

Companies sponsoring the workshop will present their products and services throughout the workshop at booths in the coffee break and poster area, and in a technical session on recent software and sensor developments. All exhibitors are encouraged to use sustainable materials that can be recycled or reused, as well as give out sustainable products and gifts during the event.

Poster presentations

Posters will be displayed throughout the workshop and will be located in a specific room close to coffee breaks and technical exhibition. Please hang your poster on the board indicated in the programme. There will be dedicated poster presentations each day. The maximal recommended size of posters is 0.9 m x 1.20 m and the orientation of the poster must be portrait. Adeit will provide a double-sided adhesive tape.

If it is asked by your session chair, authors can present their posters in short (1-2 min) poster pitches in the oral sessions associated with the session topic. For that, we ask poster presenters to prepare one (1) slide describing their poster, which highlights the topic of the poster and invites people to visit the poster. The one slide can be either the full poster as a PDF or a separate slide with the key information. The slides will be collected before the event and used for poster pitches and a continuous slide loop on a screen in the lecture hall.

Oral presentations

Oral presentations will usually be 12 minutes long, plus 3 minutes for questions, and then change over to the next speaker. The length of the presentations may vary in some sessions, depending on the planned session format and the number of presentations. Please check the workshop programme or consult the session chair if unsure. Keynote presentations will be 25 minutes long, plus 5 minutes for discussion. MS PowerPoint or PDF formats are preferred. 

Please upload your presentation as a PPT or PDF file directly to the presentation laptop in the lecture hall well before the start of the session. From 30 minutes before the start of the session, there will be technical staff on site to assist with this.

Attendance

We are planning the workshop as an in-person event and currently do not foresee the possibility of online participation.
